Pavilion Rental Contract

Thank you for your interest in renting the Chester Frost Pavilion for your upcoming event. This information is to help you in your planning process as well as regulations governing all rentals. If you require additional information concerning the rental of the Pavilion, please contact Kylee Saunders at kylees@hamiltontn.gov 

Viewing hours are Monday through Friday, 8 a.m. to 3:30 p.m. - by appointment only.

Rental Information

$500.00 – All Day Rental Fee (10:00 AM – 9:00 PM) + $250.00 Refundable Damage Deposit + $2.00 Non-Refundable Reservation Fee = $752.00 Rental Total

Damage Deposit - violation / damage - $250 (refundable)

The Damage Deposit will be refunded if there is no damage to Pavilion and it is left in pre-event condition (trash and leftovers properly disposed of) as determined by Hamilton County Parks and Recreation staff.

(CLOSED Thanksgiving Day, Christmas Eve, Christmas Day, New Year’s Eve, and New Year’s Day)

Setup & Decorations

Setup can begin on the day of the rental. No setup allowed the day before without rental of additional day. Parks and Recreation maintenance staff will be responsible for table(s) and chair(s) setup and take down. The facility is cleaned and setup prior to your rental according to your specifications. No cleaning and/or maintenance supplies are provided during your reservation. You are expected to leave the facility in the same condition at the end of your rental. Tablecloths and decorations will be the responsibility of the renter. No decorations may be affixed to any:

  • Ceiling
  • Chair
  • Fixture
  • Table
  • Wall

...with any...

  • Nails
  • Screws
  • Staples
  • Tacks
  • Tape
  • Type of Adhesive

Also not allowed are the following inside the facility:

  • Glitter
  • Silly-String
  • Spray Paint
  • Water Gun
  • Wax Candles

Parking & Deliveries

Parking for any event will be in the paved parking lots adjacent to the front of the Pavilion. No vehicles are allowed to park on any grassy area at any time.

None of the following are allowed to be setup on or near the Pavilion:

  • Chairs
  • Fryers
  • Grills
  • Smokers
  • Tables
  • Tents

Food & Beverages

No alcoholic beverages are allowed. You may bring a caterer of your choice or provide your own food.

Because of limited kitchen equipment, most foods must be prepared before the time of rental. The kitchen contains a sink, refrigerator / freezer, and stove. Rental utensils and dishes are not available.

No grills, fryers, smokers or open flames are allowed inside the Marsh Meeting.

The Pavilion should be left in pre-event condition. You are responsible for clearing all tables and placing leftover materials and garbage into the trash cans provided.

Personal Property / Liability

Hamilton County Parks and Recreation is not responsible for damages or loss to personal property of the:

  • Customer
  • Entertainers / Vendors
  • Guests
  • Independent Contractors
  • Invitees

We are not responsible for property which is left on the premises before, during, or after the rental. Hamilton County shall not be liable for any loss, cost, claims and expenses arising out of any injury or damage to any person or property sustained during the period of facility rental.
